Introduction and Agreement

This is an agreement between you or the entity you represent (hereinafter “you” or “your”) and Book24Seven Oy (hereinafter “Book24Seven”) governing your use of the Book24Seven appointment booking software and associated services.

Applicability of Additional Terms

The general Terms of Service apply to all users of Book24Seven. Depending on how you use our platform, you may also be subject to additional terms:

If you are a service provider using Book24Seven to manage bookings, please review the Terms for Partners.
If you are a customer booking services from a provider on our platform, please review the Terms for End Users (customers of our Partners).

By using Book24Seven, you acknowledge that you have read, understood, and agree to comply with all applicable terms.

Scope of Agreement

This Agreement includes the following general terms and conditions (hereinafter the “General Terms”) as well as terms and conditions specific to the use of individual services provided by Book24Seven (hereinafter the “Service-Specific Terms”). In case of any conflicts between the General Terms and the Service-Specific Terms, the terms of the Service-Specific Terms will take precedence.

Acceptance of Terms

To accept this Agreement, you must be of legal age to form a binding contract. If you disagree with the General Terms, do not use our services. If you accept the General Terms but disagree with specific service terms, avoid that service. You can accept this Agreement by checking a box, clicking a button that indicates acceptance, or simply by using the Services.

Service Overview

Book24Seven provides cloud-based appointment booking software and web applications designed to help businesses manage scheduling, bookings, and client communications (“Service” or “Services”). Our platform includes web-based applications for seamless online appointment management. You may use these Services for personal or business purposes within the organization you represent. Access to the Services is available through supported web browsers, and you are responsible for securing internet access and any equipment necessary to use the platform. Book24Seven enables you to create, manage, and share booking schedules, customer records, publish content and business settings to streamline your appointment workflows and enhance customer engagement.

User Sign-Up Requirements

To access and use the Book24Seven services, you must create a user account by providing all required information during sign-up. If you represent an organization, we recommend using your corporate contact details, including your corporate email, to facilitate streamlined account management.

By signing up, you agree to:

Provide true, current, accurate and complete information as requested during the sign-up process.
Maintain and promptly update your information to keep it accurate and current.

Providing false, outdated, or incomplete information may result in suspension or termination of your account and may affect your access to Book24Seven services.

Free Trial Period

By registering for a free trial of one or more Book24Seven services, you gain access to the full functionality of the applicable services at no charge until the earliest of: (i) the conclusion of the trial period (unless terminated by you before then), (ii) the start of a paid subscription for the applicable services, or (iii) termination by Book24Seven at our discretion.

Data entered and customizations made during the trial will be permanently lost unless you (i) purchase a paid plan, (ii) purchase upgrades, or (iii) export your data before the trial ends. The services offered during the trial period are provided as-is, without warranty, support, or liability to the fullest extent allowed by law.

Subscription Fees and Payment Policies

Our services are available under various subscription plans offered on a monthly or yearly basis. Payments can be made via credit card or PayPal. Unless canceled before the next billing cycle, your current subscription will automatically renew at the end of each subscription period. Subscription fees will be charged to the last payment method you used. You may update your payment information to use a different credit card or PayPal account for renewal. To avoid renewal, please cancel your subscription directly from your account Dashboard prior to the renewal date. Since we provide a 30-day free trial without requiring a credit card, we do not issue refunds once a subscription has started.

Prices for our services may be adjusted periodically, including charges for services currently offered free of charge. Any increase in fees will only take effect at the end of your current billing cycle. You will not incur charges unless you actively choose a paid subscription plan.

If applicable taxes (VAT, GST, sales tax) apply, Book24Seven will add these to your subscription invoice as required by law. You agree to pay any applicable taxes along with your subscription fees, and we will provide invoices that comply with relevant tax regulations.

Account Suspension or Termination for Non-Payment

If your account becomes overdue, Book24Seven reserves the right to suspend access until the full payment is received. Continued non-payment may result in permanent account termination, with all associated data subject to deletion. To reinstate access, any outstanding balances must be fully paid.

Account Management and Administrator Roles

When creating an account for your organization on Book24Seven, you may designate one (or, for certain services, multiple) Administrator(s). Administrators have the authority to configure settings to fit your organization’s needs, manage user (Staff and Customer) access, and oversee account activities. If a third party creates or configures your account, they may assume an Administrator role on your behalf. It is essential to establish an agreement with any third-party Administrator outlining their roles and responsibilities in managing your organization’s account.

You are responsible for:

Keeping the organization account password secure
Appointing competent Administrators to manage your account effectively, and
Ensuring that all account activities comply with these Terms.

Book24Seven does not handle internal account administration or management for your organization.

To prevent loss of access to Administrator accounts, we recommend emailing support@book24seven.com with a recovery process that meets Book24Seven’s standards. If no recovery process is specified, Book24Seven may, at its discretion, provide access to an individual who demonstrates valid authorization to act on behalf of your organization. Book24Seven will not be held liable for actions taken in good faith under these conditions.

Permitted and Restricted Uses

To ensure a secure and reliable experience for all users, please observe the following restrictions while using Book24Seven:

Authorized Access Only: Book24Seven is licensed solely for your use or the use of your organization. Transferring or granting access to third parties without permission is not allowed.
Service Redistribution: Do not share or resell our services or licenses, except for authorized reassignment within your organization.
Technical Integrity: Avoid any attempts to reverse-engineer, disassemble, or decompile any part of Book24Seven’s services.
Respect Network Stability: Actions that could harm or overload Book24Seven’s network, systems, or resources are strictly prohibited.
Safe and Secure Use: Do not use Book24Seven to store or send viruses, malware, or other harmful code.
Data Privacy: Only share data you’re authorized to use. Hosting or sharing confidential data without permission is prohibited.
Accurate Representation: Use only accurate and honest details in your profile. Creating false identities or misleading others on the platform is prohibited.
Legal Compliance: All activities on Book24Seven must comply with applicable local, national, and international laws.
No Competitive Use: Do not use Book24Seven for any benchmarking, competitive analysis, or unauthorized comparisons.
Respect Proprietary Notices: Any copyright or proprietary notices provided with Book24Seven’s services must remain visible and intact.

By adhering to these guidelines, we can maintain a trusted and effective platform for all Book24Seven users. Thank you for your cooperation.

Acceptable Use and Content Policy

You are solely responsible for the content you transmit through Book24Seven. You agree not to use the platform for any illegal activities or to transmit material that is:

Unlawful, defamatory, harassing, or invasive of another’s privacy
Abusive, threatening, harmful, vulgar, pornographic, obscene, or otherwise objectionable
Offensive to religious beliefs or that promotes discrimination or racism
Containing viruses, malware, or other harmful code
Violating or potentially violating the intellectual property rights of others

Book24Seven prohibits using our services for “junk mail,” “spam,” chain letters, phishing, or other forms of unsolicited mass messaging. We reserve the right to terminate your access if there is reason to believe that the platform has been misused for illegal or unauthorized purposes.

Privacy and Data Security

The personal information you provide to Book24Seven through the use of our services is governed by the Book24Seven Privacy Policy. By choosing to use our services, you indicate your acceptance of the terms outlined in this policy.

You are responsible for keeping your username, password, and other sensitive information confidential. You’re responsible for all activity within your account. If you detect unauthorized use, please email support@book24seven.com immediately.

Book24Seven will not be liable for any loss or damage incurred by you or any third party as a result of unauthorized access or misuse of your user account.

Support and Maintenance

Book24Seven provides support according to the level outlined in your subscription plan, with response times varying based on priority. Routine maintenance may be scheduled outside standard business hours, and access may be limited during this time. We will make every reasonable effort to notify users in advance of any planned maintenance.

Data Security and Limitations

While Book24Seven implements commercially reasonable measures to protect your data, we cannot guarantee absolute security. In the event of a security breach affecting user data, Book24Seven will notify users and the relevant authorities promptly. However, Book24Seven disclaims liability for damages caused by data breaches, unauthorized access, or other events beyond our control. By using our services, you acknowledge and accept these limitations.

Data Ownership and Access

We respect your right to the content you create or store within your Book24Seven account. You retain full ownership of the content you generate or store through our platform. Your use of the services does not grant Book24Seven the right to use, reproduce, adapt, modify, publish, or distribute your content for any commercial or marketing purposes without your explicit permission, which may be provided via email consent.

However, by using Book24Seven, you grant us permission to access, copy, distribute, store, transmit, reformat, and display the content within your account as needed to provide the services effectively. This access is solely for the purpose of delivering and enhancing the service experience.

Data Backup and Recovery

While Book24Seven implements regular data backup processes to protect user data, we recommend that you maintain copies of important information independently. Book24Seven is not liable for data loss or corruption. In the event of unforeseen issues, we will make reasonable efforts to restore data from recent backups.

Hosting and Data Location

Book24Seven hosts its primary data operations in a secure data center located in the United Kingdom. Additionally, to enhance performance, content delivery is supported through multiple global Content Delivery Network (CDN) locations.

Currently, all user data is stored in the UK data center. If regulatory or operational requirements evolve, Book24Seven may migrate accounts or data to an alternative data center to ensure optimal service and compliance. Please refrain from masking your IP address at the time of sign-up, as this may impact our ability to provide accurate support and access to services.

In the event of any required migration, Book24Seven will notify you of any potential impacts or actions to take.

Required Communications from Book24Seven

By using the Book24Seven services, you may receive certain communications from us, such as service announcements, administrative messages, and newsletters. These communications are part of the service experience. You may unsubscribe from newsletters, but essential service and administrative messages are necessary and cannot be opted out of.

Handling of Complaints

If Book24Seven receives a complaint regarding your activities on our platform, we will forward the complaint to the primary email address associated with your account. You are expected to respond directly to the complainant within 10 days of receiving the forwarded complaint and include Book24Seven in your response. If you don’t respond within 10 days, Book24Seven may share your contact information with the complainant to facilitate legal action. By not responding within the specified timeframe, you acknowledge and consent to Book24Seven disclosing your contact details to the complainant if necessary.

Inactive Account Policy

Book24Seven reserves the right to terminate unpaid user accounts that remain inactive for a period of 60 consecutive days. Prior to termination, we will notify you and provide an option to back up your data. Once an account is terminated, all associated data will be permanently deleted. This policy may apply to any or all of Book24Seven’s services. Note that each service is managed independently for activity tracking, so activity in one service will not keep your account active in another.

Content Ownership and Responsibilities

When you create, transmit, or publish content through Book24Seven, you are solely responsible for that content and the outcomes of sharing it. Content you make public will be accessible on the internet and may be indexed by search engines. It is your responsibility to ensure that no private content is accidentally made publicly available.

Any content you receive from other users on the platform is provided as-is for informational and personal use only. You agree not to use, copy, reproduce, distribute, transmit, display, or sell such content without the express permission of the content owner. Additionally, if any content contains copyright notices or copy protection features, you agree not to alter or remove them.

By making any content publicly accessible through Book24Seven, you confirm that you have the necessary permissions or rights to share it in this manner. Book24Seven reserves the right to block access to or remove content if we receive complaints of legal violations or third-party rights infringements. In such cases, Book24Seven will evaluate these concerns through appropriate channels and may take action as deemed necessary.

If you wish to dispute the removal or blocking of content, please reach out to our support team to resolve the matter.

Sample Files and Demonstration Content

Book24Seven may offer sample contents, files and applications to demonstrate how the services can be effectively used for specific purposes. These sample contents, files and applications contain random data and are provided solely for demonstration. Book24Seven makes no guarantees, either express or implied, regarding the accuracy, usefulness, completeness, or reliability of the information within these sample contents, files and applications.

Trademarks and Branding

“Book24Seven,” the Book24Seven logo, and the names and logos of specific services provided are trademarks of Book24Seven LLC (Oy). You agree not to display or use Book24Seven trademarks in any way without prior written permission from Book24Seven.

Intellectual Property Rights

Book24Seven retains all rights, titles, and interests in its platform, software, and associated services. Users may not copy, modify, or distribute any part of the Book24Seven software or branding without express permission.

Third-Party Integrations and Applications

Book24Seven integrates with various third-party applications (“Third-Party Applications”) including different payment integration to enhance your experience and provide additional functionalities (e.g., integrated apps like Google Calendar or Stripe Payment). Access to and use of Third-Party Applications may require acceptance of their respective terms of service and privacy policies (“Third-Party Terms”). You are responsible for reviewing and understanding the Third-Party Terms before using any integrated application.

Book24Seven is not liable for any Third-Party Applications and does not guarantee their availability or performance. Although we will attempt to give advance notice whenever possible, you acknowledge that Book24Seven may, at its sole discretion and without notice, suspend, restrict, or disable access to any Third-Party Application. Book24Seven is not responsible for any potential loss of data, revenue, goodwill, or other impact resulting from such actions.

Disclaimer of Warranties

By using Book24Seven’s services, you acknowledge and agree that your use of the services is entirely at your own risk. The services are provided “as is” and “as available,” without any guarantees or warranties, either expressed or implied. Book24Seven disclaims all warranties of any kind, including, but not limited to, implied warranties of merchantability, fitness for a particular purpose, and non-infringement. Book24Seven does not guarantee that the services will be uninterrupted, timely, secure, or error-free. Downloading or obtaining materials through the services is done at your own risk, and you will bear full responsibility for any harm to your computer, device, or data. No advice or information obtained from Book24Seven, whether written or oral, shall create any warranty that is not explicitly included in these terms.

Limitation of Service Availability

Book24Seven aims to maintain maximum service availability. However, factors beyond our control—such as technical failures, maintenance needs, or geographic limitations—may affect service access. We do not guarantee uninterrupted availability and are not liable for any service disruptions or limitations that may occur.

Limitations of Liability

You acknowledge and agree that Book24Seven shall not be liable for any indirect, incidental, consequential, special, or punitive damages, or any loss of profits, business interruption, data loss, or business information loss resulting from your use of or inability to use the services, even if Book24Seven has been advised of the possibility of such damages. Book24Seven’s maximum liability is limited to the amount you paid in your current billing cycle.

Indemnification Policy

You agree to protect and hold Book24Seven, its officers, directors, employees, suppliers, and affiliates harmless from any losses, damages, penalties, or costs (including legal fees) that arise from claims related to your use of our services. This includes claims that you used the services in a way that violated another party’s rights, broke any laws, or went against the terms of this agreement, except where your use was expressly authorized by Book24Seven.

Example: If a third party claims that content you uploaded on Book24Seven violates their copyright and takes legal action, you would be responsible for covering any related costs, including legal fees, unless you were authorized by Book24Seven to post the content.

Governing Law and Jurisdiction

This Agreement will be governed by and construed in accordance with the laws of Finland. Any disputes or legal actions related to this Agreement will be subject to the exclusive jurisdiction of the courts in Helsinki, Finland. This provision applies regardless of where you access the service.

Account Suspension and Termination Policies

Book24Seven reserves the right to suspend or restrict access to your account temporarily if there is suspected unlawful activity, prolonged periods of inactivity, or at the request of law enforcement or government authorities. If you wish to contest the suspension, please contact us at support@book24seven.com within thirty days of receiving the notification. Accounts that remain suspended or restricted for thirty days may be permanently terminated.

We also reserve the right to terminate your account if we have reasonable grounds to believe you have violated the Terms of Service or if technical issues necessitate the discontinuation of a specific service or feature. Users may also request account termination at any time, and upon such request, all data associated with the account will be permanently deleted.

If Book24Seven breaches any obligations under this Agreement, you may terminate your account and request a prorated refund of any prepaid subscription fees. Account termination will result in the loss of access to all services, deletion of login information such as email and password, and permanent deletion of all account data.

Amendments to Terms of Service

Book24Seven reserves the right to update these Terms of Service at any time. If any changes are made that significantly impact your rights, we will provide at least 30 days’ notice, either via a service announcement or an email sent to your registered email address. Should you disagree with the revised Terms, you may choose to terminate your use of the Services within 30 days of receiving notice of the modification by contacting support@book24seven.com. In such cases, you will be eligible for a prorated refund for any unused portion of prepaid fees.

Your continued use of Book24Seven’s Services after the effective date of any modifications will constitute your acceptance of the updated Terms of Service.
